Version 1.2 · Updated 25 September 2026 · GOEXPLORECAMPING LTD

Who we are and how to contact us

GOEXPLORECAMPING LTD, company number 13575729, operates Go Explore Camping & Caravanning Club and is responsible for the personal information it uses to run this website, directory, accounts, enquiries and its own customer relationships. Our registered office is Nantceulan, Capel Bangor, Aberystwyth, Sir Ceredigion, United Kingdom, SY23 3NL.

For privacy questions, complaints or requests, email [email protected], write to our registered office, or contact [email protected]. You do not need a particular form or legal wording. The director is responsible for overseeing this policy and ensuring requests reach the appropriate person.

A campsite normally controls the information it receives to answer an enquiry and provide your stay. Its own privacy information also applies. Where Go Explore supplies tools solely to manage an operator's independently sourced bookings, the respective responsibilities must be set out in that service agreement.

Accounts and use of the website

We use the registration, profile and contact details you provide, authentication records, favourites, reviews and other information you choose to add to provide your account and requested services. The usual lawful basis is performance of a contract with you or steps you request before a contract. We also have legitimate interests in protecting accounts, preventing misuse and resolving disputes.

The website and its security systems process connection and request information, such as IP address, browser details, request time, login attempts and abuse indicators. These support operation, troubleshooting and proportionate security under our legitimate interests and applicable security duties. Protected or hashed identifiers can still be personal information; hashing does not automatically make them anonymous.

We do not need payment-card numbers, passwords, passport copies or medical records in ordinary contact messages. Please avoid putting private information about other people in public reviews or listings. Information you publish publicly may be read and copied by others.

Sign in with Google

If you choose Google to create or access your account, Google supplies your account identifier, name, email address and profile picture. We use these to authenticate you and maintain your Go Explore account. We do not receive your Google password or request access to your Gmail messages, contacts or files. Go Explore does not retain Google access tokens for ongoing access.

Google sign-in is optional. Email and Google sign-in provide the same booking, listing and claim features, subject to campsite availability and ownership checks. An existing account may be linked using the email returned by Google; use the same email to keep your activity together. Google also processes the sign-in under its own privacy policy. You can manage the connection through your Google account. Disconnecting Google does not delete records held by Go Explore.

Directory enquiries

The enquiry form uses your name, email, requested dates, party size and accommodation preference to verify your email and handle the enquiry you request. The current form requires a phone number if you ask for forwarding to a campsite; otherwise it is optional. Required fields are identified in the form. You can use the campsite's published direct contact details instead where available.

Sharing is a separate choice. If you ask us to share the enquiry and the introduction service is available, we send the details to the named campsite so it can reply. We record that choice and the wording version. Tell us promptly if you want to withdraw the sharing instruction before delivery. Once the campsite receives the information, its response and any subsequent booking are subject to its own lawful processing and privacy notice.

Providing an enquiry service relies on the steps you request before a contract or our service contract, as appropriate. Optional forwarding is based on your recorded sharing choice. Limited duplicate checks, delivery controls and abuse prevention rely on our legitimate interests. An enquiry does not reserve accommodation, take payment or subscribe you to marketing.

Your travel map

If you use the private travel-map feature, we store the places, stay dates and map positions you choose to save, linked to your account. This provides the optional account feature you request. A saved stay is not a booking or a statement of your current location. Added stays can be removed; booking records have separate retention requirements.

Added travel history is private to your account and authorised administration, rather than a public review. Map providers receive connection information when their maps load. OpenStreetMap supplies map tiles for relevant features; Google maps and Places are controlled through our privacy choices. A browser request for access to your current location is a separate permission. See Cookies and privacy choices.

Campsite listings, claims and applications

We use business contact details, listing text and images, ownership or authority information, correspondence and account permissions to maintain an accurate directory and assess claims. Sources can include your submissions, public business websites, the existing directory and OpenStreetMap. An individual business owner's details may be personal information even when published elsewhere.

The bases are our legitimate interests in an accurate directory, fraud prevention and relevant business relationships, together with the contract or requested pre-contract steps for a listing or application service. Public availability does not amount to marketing consent. We provide relevant privacy information when contacting people whose details were obtained indirectly, subject to applicable legal requirements and exceptions.

For certification, the current form requests name, email, site and home addresses, landowner or authority details, site characteristics and relevant uploaded documents. Phone is optional. We use application information to assess the requested service, administer the relationship and address safety, quality or disputes. The bases are contract or requested pre-contract steps and legitimate interests where appropriate. Any necessary consultation with advisers or public bodies should be explained during the application. Submit only relevant documents and remove unrelated personal details.

If practical accessibility arrangements require information about health, we must identify both an ordinary lawful basis and an additional legal condition, such as explicit consent where appropriate, before collecting or sharing it. Please describe the arrangements needed without unnecessary medical history.

Bookings, payments and purchases

For the booking trial at selected campsites, and any booking service subsequently released, relevant records include guest name and email, operator and pitch, dates, party size, selected extras, price, agreed terms, payment references and status, refunds and correspondence. These are used for the requested booking service, applicable accounting or other legal duties, and legitimate interests in resolving disputes and preventing fraud. Describing the pilot here does not make public paid bookings available.

Payment providers process card details on their own payment pages. Do not send card numbers or security codes by email. For any shop purchase, relevant information includes the order, delivery contact/address, product choices, payment references and return/support records. The seller and fulfilment arrangements must be identified in that shop's purchase information before an order is made.

Newsletter and owner invitations

Go Explore Weekly uses email address, subscription source and confirmation/consent records for the newsletter you choose to receive. The basis is consent. Confirm using the link provided before the subscription becomes active. Unsubscribe using the email link or contact [email protected]. The current newsletter does not use email-open tracking pixels.

Site-owner invitations are assessed separately under data-protection and electronic-marketing rules. We distinguish corporate recipients from sole traders and other individual subscribers and use an appropriate consent or permitted business-contact basis. A public email address, listing claim or guest enquiry is not permission for unrelated promotions. We keep a limited suppression record to respect opt-outs and do not sell the directory campaign contact list.

Who receives information and where it is held

Authorised staff and suppliers supporting hosting, email, maintenance, security, customer administration, payments and fulfilment may handle information for their assigned tasks. Ordinary website email is configured through Brevo, using [email protected] as sender. Newsletter and owner-outreach mail uses a separate hosted-mail route. Website records are held in the WordPress database and related file storage; newsletter/outreach uses a separate private database. Mailboxes, supplier systems and backups can hold additional copies.

The campsite you choose receives relevant enquiry or booking information when you request that service. Necessary information may also be shared with professional advisers, insurers, regulators or public authorities where justified or required. Public listing and review fields are visible to other website visitors.

Optional Google Maps, Google reCAPTCHA and YouTube services are explained in our cookie notice, with links to provider information. If you allow Website analytics in Cookie settings, Google Analytics measures visits to our public pages and successful campsite applications and free listing claim requests. It uses browser identifiers and device and connection information, with your consent. We do not send form answers, names, email addresses, payment references or account identifiers to Analytics. Account, administration and checkout screens are excluded. A completed application is recorded as an application event, not a certification sale. Google advertising personalisation stays off. You can withdraw through Cookie settings at any time; withdrawal stops measurement and removes Analytics cookies on this site. We use these reports to assess and improve the website; refusing Analytics does not prevent you using it. OpenStreetMap may receive map-tile requests for relevant account and directory map features.

Our suppliers may process information outside the UK, including in Europe and the United States. A UK domain name does not establish that every copy or support team is in the UK. Any restricted international transfer we make must satisfy UK transfer requirements, for example through applicable adequacy arrangements or appropriate contractual safeguards and assessment. Contact [email protected] for information about the locations and safeguards relevant to your information, including how to obtain a copy where applicable.

Retention

We keep information for the service, recordkeeping or other justified purpose for which it is needed, then remove or minimise it. Different systems and backup copies have different disposal cycles. A documented legal or dispute hold may justify retaining limited information longer; this does not justify keeping all information indefinitely.

The enquiry system is configured to clear unverified personal details after seven days and remaining enquiry details 90 days after creation. Verification links expire after 24 hours. These processes depend on scheduled cleanup. A limited keyed email record remains to identify repeat travellers and apply the five-introduction allowance per campsite; it is pseudonymous personal information. Its continuing necessity must be reviewed and it must be removed when no longer needed for that purpose.

Account information is kept while needed to provide the account. Our operating policy calls for review after 24 months of inactivity and notice before closure where appropriate. We retain necessary financial and contractual evidence for the applicable accounting and claims periods, with six years after the relevant financial year used as the normal review point; unnecessary contact detail or message content need not be kept for that whole period.

Our operating review periods are 12 months after closure for general correspondence and unsuccessful applications, and annual review of listing, membership and certification records, with longer retention only for necessary relationship, decision, financial or dispute evidence. These are disposal/review rules, not a promise that every system erases automatically on the same day.

Newsletter records remain while subscribed, subject to annual review. Unconfirmed requests are flagged for review after 30 days. Minimal opt-out records remain for as long as needed to prevent unwanted marketing. Security logs and backups are reviewed separately for their security, recovery and legal purposes. Ask us about retention for a particular record, or exercise the rights below.

Your rights, complaints and updates

Depending on the circumstances, you may request access, correction, erasure, restriction or a portable copy, and may object to certain processing. You can object to direct marketing at any time and withdraw consent without affecting the lawfulness of earlier processing. Some rights have legal exceptions; we will explain any refusal and the available complaint route. We ask for only proportionate identity evidence where needed.

We normally respond to rights requests without undue delay and within one month. Any lawful clarification, identity requirement or permitted extension will be explained; complex or numerous requests can qualify for up to two additional months, with notice within the initial month. Privacy complaints are acknowledged within 30 days and investigated and answered without undue delay.

You can complain to the Information Commissioner's Office or call 0303 123 1113. You can contact us first so we can try to resolve the issue, but this does not remove your right to approach the ICO.

The reviewed features use availability checks, email verification and abuse controls; no solely automated decision with the significant effects covered by Article 22 has been identified in this review. Ask for help if an automated check prevents a legitimate request. Any new significant profiling or materially different use requires fresh assessment and information. We date changes to this notice and explain material new uses as required.

Your free Explorer membership and shop benefit

Your existing Go Explore account gives you access to your journey map, favourites and member benefits. Joining does not subscribe you to marketing. When you request a personal shop discount code, we send your account email to the Go Explore shop so it can restrict the code to that email. We keep the code, its expiry and a one-way email fingerprint in your main account; the shop keeps the email restriction with the coupon. Codes last 30 days, can be renewed, and expired member coupons are removed by routine cleanup. Changing your account email or deleting your account requests removal of the previous coupon; failed requests are retried. This does not remove records of any shop orders, which follow the shop’s order retention arrangements.

Your account does not create an account with an external benefits partner. Any future partner offer will explain its own redemption requirements before you use it. You can request access or erasure using the contact details in this notice.

Your choices

Essential technologies support login, security and the choices you ask us to remember. Optional services, including Google Analytics, start off. Choose each purpose below.

We remember this selection in a first-party cookie for up to 180 days. Change it here at any time. Your choice applies as you browse. Saving does not reload or clear a form you are filling in. Withdrawing Analytics stops measurement immediately and removes its cookies on this site. Your browser can remove cookies held on a provider’s own domain.
